In the past, planning an event used to be as simple as sending invitations, laying out white table cloths and setting up a food station.
Nowadays events have evolved into something that needs more intricate planning and sometimes complex execution. And I realized that I'm attending more weddings, baby showers, business launches by my peers so I thought I'd share some tips about how to go about handling these events from someone who is a guru-fairy-godmother-miracle-worker of events, Dikeledi Mokale of Dichrimo Events in Pretoria.
I've photographed a few events that were handled by this company (see pictures) and their work is spectacular so these tips are noteworthy:
1. Start early.
Planning well ahead of time increases your options and doesn't put people under pressure.
2. Choose theme and type of setting from the beginning.
Sites like pinterest.com are super useful for generating ideas
3. Get organized.
Create a document with all your suppliers details and contact numbers. This will come in handy closer to the event date.
4. Be smart with your budget.
If money is tight then spend less on non-crucial elements but make the look of your venue a priority because that's where your guests will be spending most of their time. You can also DIY some items.
5. Pay suppliers on time.
The last thing you want is a supplier not showing up on the day of the event because of a outstanding deposit.
6. Get to know your planner/decor supplier/caterer.
These people are crucial to events. Meet up in person, make sure they understand your vision and budget, READ their contracts.
7. Plan for your venue. Will your theme be possible to execute in that setting? Will it cater for your number of guests? Is there parking? Restrooms?
8. Make sure delivery and setup happens on time.
Make provision for at least 4 hours prior to the event for suppliers. This also gives you room to fix last minute mishaps.
9. Delegate an extra contact person.
This person can assist you with giving people directions and last minute errands.
10. No major last minute changes.
Suppliers sometimes have to go to the end of the earth to materialize your vision. Be considerate.
11. Don't overlook your guests' needs.
People need to stay hydrated, don't forget to provide water throughout the event. If your program takes a while before food is served then provide finger snacks in between. No one pays attention on an empty tummy.
12. Trust your planner.
Look at reviews from other people about their experience with them (like Dichrimo Events Reviews) and see their work.
Check out Dichrimo Events on their Facebook page. They do all sorts of events including weddings, parties and corporate gigs big or small. Providing decor, catering, equipment hire and other event essentials.
With these tips in hand I hope your next event will be less stress, more champagne!
